How to customise your booking emails

Every booking sends emails to your guests and to you. You cannot rewrite the wording, but you can choose who they come from, who hears about bookings, and how you say thank you.

Quick answer. Use Email sending to choose where emails come from, and Notifications for alerts, decline reasons and the thank you. Both are in the left menu under Booking page. Sending from your own address needs the Standard plan or above.

Step 1: where do emails come from?

  1. In the left menu, under Booking page, click Email sending.
  2. Choose Send through Nabsie (recommended). Emails come from our address with your venue name as the sender, for example "The Anchor via Nabsie", and replies go to your venue email. There is nothing to set up and it is the least likely to land in spam.
  3. Or choose Use our own email address (Standard and above) so emails come from something like [email protected]. You need the SMTP details from your email provider: host, port, username, password and the From address. SMTP is just the name for the outgoing mail server.
  4. Press Send a test email. If the details are wrong, emails will fail, so always do this.
  5. Press Save changes.

Step 2: who hears about bookings?

  1. Click Notifications, also under Booking page.
  2. In Notification emails, add the addresses that should get alerts, separated by commas.
  3. Tick or untick Email us for every booking, not just requests.
  4. Under Decline reasons, write the polite reasons your team can pick when saying no, one per line. Guests see them.

Step 3: say thank you

  1. In the After visit email box, tick Send a thank you email after the visit.
  2. Paste your Google or TripAdvisor review link into Review link.
  3. Press Save changes at the bottom.

It goes out three hours after the booking ends, once per booking, and only to people who turned up. If you never mark guests as arrived, tick the box that sends it anyway.

Your logo and accent colour from Booking page look also appear in your emails.

FAQ

Questions people ask

Can I change the wording of the emails?

The wording is written by Nabsie so it is clear and reliable. You control who it comes from, your logo and colour, who gets alerts, your decline reasons and the thank you email.

Do I need my own email address?

No. Sending through Nabsie works straight away and is the one we recommend. Your own address looks more professional but needs the Standard plan and a few details from your email provider.

Who gets the thank you email?

Only guests who turned up, three hours after the booking ends. You can also tick a box to send it even if staff did not mark them as arrived.

Can I get a copy of the day's bookings by email?

Yes. Under Notifications, use the Table list backup email box and choose before each service or a set time. It is on Standard and above.
